Practical steps for setting up users, roles, lead sources, properties, deal pipelines and follow-ups inside Lista CRM.

A CRM becomes useful when the team knows who owns each lead, what has to be recorded, and what the next step is. Good onboarding settles those rules before daily work starts.

Begin with the company structure. Create the workspace, add the branches or teams you need, and give each user the role and permissions their job requires. Agents should see the records assigned to them, while managers need broader reporting visibility within what the company allows.

Next, agree how leads will be managed. Write down the sources your company uses, decide how new enquiries are distributed, and define the interest levels used in rule-based scoring. Keep the rules simple enough that every member of the team understands them.

Set deal pipelines to match the real work. A brokerage may need different stages for sales, rentals, off-plan or other business lines. Each stage should have a clear meaning and a defined next action.

Before importing existing contacts, review the data for duplicates, missing phone numbers and inconsistent fields. Confirm there is a lawful basis for holding each person’s data and for contacting them.

Close onboarding with a short working session. Show agents how to update a lead, log a call, create a task, link a property and move a deal. Show managers how to review overdue follow-ups, source performance and team activity.

The goal is not to configure every possible field on day one. It is to give the team one agreed process they can apply consistently.
